Office Location(s): Brownsville, TN

(*Upon BOC TCAT completion, position will be relocated to Stanton,TN)

Hours: 7:30 – 4:00, Monday through Friday

The Administrative Assistant to the Vice President (VP) for Blue Oval City (BOC) is responsible for work performed in a variety of office tasks in support of the TCAT Vice President.

Required Qualifications

Technical Diploma or Associate Degree

Five (5) years working experience in an office setting.

Preferred Qualifications

Bachelor’s Degree (preferred)

Responsibilities

Provide administrative support to the TCAT BOC Executive Vice President.

Monitor and manage the BOC Executive Vice President’s Office budget.

Manage the BOC Executive Vice President’s time via the Outlook Calendar.

Coordinate the BOC Executive Vice President’s travel, including booking, itinerary, preparing reimbursement forms, etc.

Act as a liaison for the BOC Executive Vice President with campus community and community stakeholders.

Greet internal and external customers (in-person and by phone) in a professional manner.

Display a high level of effort, dedication, and commitment toward executive level work; operate utilizing the efficient and organizational structure while demonstrating trustworthiness and responsible behavior.

Assist with institutional and programmatic accreditations.

Assist with recruiting, marketing activities, campus visits, leading group tours across the region, as needed.

Assist with special projects, including development and tracking.

Coordinate marketing events and communicate with all appropriate staff members and workforce partners.

Create, maintain, and update electronic sign messages.

Schedule and track facility usage. Maintain Facility Usage Calendar. Coordinate with facilities and IT staff to ensure needed resources are available when space is reserved.

Prepare and maintain office records, including meeting agendas and minutes, reports, official documents, accreditation materials, etc.

Serve as the back-up and facilitate various meetings and functions within the college, as needed.

Maintain office supplies inventory, submit requisitions for purchase and receipt related purchase orders in the TBR eProcurement system.

Some travel may be required. (Note: *During Blue Oval City (BOC) project development the home office will be located at the Brownsville TCAT Campus. However, upon completion of the BOC TCAT facility the position will be relocated to Stanton, TN)

All other duties as assigned.

Skills

Perform general office duties:  Type and proof correspondence, reports, tables, charts, academic manuscripts, brochures, and other business materials as needed; make copies, assemble, collate, staple, or bind materials as required; distribute mail; prepare office supply requests. Qualifications Needed: PowerPoint, Excel, and Word.

Assist with preparing executive level agency reports using PowerPoint, Excel and Word for the Executive Vice President and other partner agencies, as required, or requested.

Must have strong interpersonal skills, pleasant demeanor, and professionalism with coworkers, students, and the public.
